TITLE:  Receptionist/Office Administrator - Nashua, NH

Ezenia! Inc. a leading provider of multi-media communication servers is currently seeking a professional hard working individual to join our team as a Receptionist/ Office Administrator

Job Summary:
Provides general office support including a variety of clerical activities and related tasks. The receptionist/office administrator will be responsible for answering and directing incoming calls, mail distribution, flow of correspondence, requisition of supplies as well as additional office duties as needed.  Assists in the areas of HR, accounting, purchasing, facilities, marketing, and industrial security administration.
Essential Duties and Responsibilities:
•   Answers telephone and directs the caller to the appropriate employee or their voice mailbox if unavailable, take messages for various personnel as needed.
•   Provides callers with information such as company address, directions, fax numbers, website and other related information.
•   Greets and directs visitors to the company.
•   Receives sorts and forwards incoming mail and faxes. Maintains and routes publications.
•   Handles the shipment, pick-up and delivery of express mail services (FedEx, UPS, etc.) 
•   Assists in the ordering, receiving, stocking, and distribution of office supplies, kitchen supplies, printer/fax/postage supplies, and office furniture. 
•   Processes applications for security clearances as well as travel authorization request forms.  Assists the FSO as needed.
•   Assists all departments, as needed, with any project needs.  May also assist with other related office duties such as photocopying, faxing, filing and collating.
•   Maintains overall appearance of the front lobby and office space in general.
•   Makes travel arrangements including hotel and car rental.
•   Set up for company meetings – order food and beverage as needed.  Ensure conference rooms are clean and set up.
•   May assist with organizing company functions.
•   Collect timesheets and maintain records.
•   Must have excellent verbal and written communication skills and maintain a professional appearance and demeanor at all times.   
•   Must be punctual, organized and detail-oriented. 
•   Must be able to multi-task and possess the ability to work independently on assigned tasks. 
•   Experience with MS Office (Word, Excel) and PowerPoint a must.
•   High school diploma or equivalent (GED). 
•   Minimum of two years of relevant experience and/or training, or equivalent combination of education and experience.
